What is building capacity?

  • 150 guests maximum including bridal party.

 

Is there a deposit required?

  • We require a security deposit of $1,000.00 when contract is signed to secure date. The security deposit will be returned within 15 days after event.

 

When is final payment due?

  • We require payment of 50% 9 months before the event and balance 60 days before event date.

 

What form of payment do you accept?

  • We prefer check.

 

How many cars will your parking lot accommodate?

  • 100 cars. We do not provide parking attendants.

 

Do you provide tables and chairs?

  • We provide 15 each 5’ round tables, 2 each 8’ banquet tables and 150 each Chivari chairs for inside use only. 

  • We also have 150 each white chairs for outside use.

  • User is responsible for set up of chairs and tables. We do not provide table linens.

 

Do you provide clean up and trash removal?

  • Light cleaning is included in price.

  • Bagged trash removal is included. 

  • Caterers will be required to remove their trash at the end of service.

 

Are there overnight accommodations nearby?

  • We are approximately 8 miles from Lynchburg, Va. There are many available lodgings that provide excellent accommodation. Click here for recommendations on the Lynchburg Tourism website.

 

Do you provide other services such as catering, music, or flowers?

  • No. We are a venue with tables and chairs only.

 

Can we choose our own caterers?

  • Yes. All caterers are required to have a food service permit issued by the city or county health department and general and liquor liability insurance in order to provide services for events at Mead Lake property. Events must be serviced by caterer the entire event. No drop off services permitted.

  • Caterers are allowed to use kitchen facilities, but will be required clean after use. Caterers are required to remove their trash. We do not permit cooking on site.

 

Do you allow decorations?

  • We welcome decorations such as flowers, candles, signs, etc. We do not allow anything to be applied to the walls or building that will cause damage such as nails, staples, tape, etc. If you choose to use candles, then we require that they are in glass containers. We do not allow wish lanterns due to fire concerns, or helium balloons.

  • We do not allow confetti of any kind, rice or bird seed.

 

What time will I have access to the venue to decorate?

  • You will have access to the venue strictly at the time listed on your contract, not earlier. Please plan accordingly.

 

What is your smoking policy?

  • We don’t allow smoking inside the lodge or on the wooden deck.  We do allow smoking on the concrete patios on either end and on the patio on the east side of the lodge. Please dispose of butts in provided cans. No smoking on near woods.

 

Do you allow pets onsite?

  • Animals, other than service animals, are not allowed.

 

Do you include a wedding day-of coordinator?

  • No. We do not include a coordinator. A representative of Mead Lake Lodge will remain on site the entire duration of your event and will help with any questions and maintenance issues required with venue.

 

Do you require event insurance?

  • We do require you to obtain an event insurance police naming MMDLK, LLC as additional insured. 

 

What is the physical address to the venue?

Planning Questions

 

If we choose the one-day option, can we access the lodge early to rehearse?

  • Our venue will likely be reserved by another couple the night before. Please plan for an offsite rehearsal.

 

Do you allow fireworks?

  • Fireworks (including sparklers) are not permitted. We want to be good neighbors. We are also located near wooded areas.

 

Are vehicles allowed to be left overnight?

  • We cannot allow vehicles to be left on the premises overnight. Please remind guest of this policy.

 

What time does music need to end?

  • Please conclude music and celebration no later than 1 hour before your schedule time ends to allow for clean-up and removal of all items that you brought. 

 

What about access for drop off/pick up of items by rental company?

  • Deliveries by anyone (including vendors) must happen within your rental time.
